The events followed a roadshow model, where multiple universities participate in a single venue and meet students interested in international education programs. 

Each participating institution requires a dedicated interaction space, consultation setup, and logistical support. The event environment must allow smooth movement of students while maintaining structured engagement areas for university representatives. 

This format demands precise venue planning, infrastructure coordination, and crowd flow management to ensure productive interactions between universities and students. 

Venue Strategy & Sourcing 

For education roadshow-style events, venue selection directly affects accessibility and turnout. 

Miramo evaluated venues across multiple cities to identify locations that could comfortably accommodate:

To ensure operational continuity, backup internet arrangements were also prepared, minimising the risk of connectivity disruptions during the event. 

In addition, power load requirements were reviewed, and backup arrangements were aligned with venue teams to ensure uninterrupted operations.

End-to-End Ground Support for participating institutions 

A key aspect of these events involved seamless coordination with participating university representatives travelling to each location. 

Miramo managed the fleet and ground transportation for university representatives, ensuring timely and reliable movement to and from event venues. This included planning, scheduling, and coordinating vehicles in alignment with event timelines. 

In parallel, the team worked closely with venue staff to ensure readiness of consultation spaces, infrastructure, and connectivity upon arrival. 

This integrated approach ensured that representatives experienced a smooth transition from travel to event participation, allowing them to focus entirely on student interactions without operational concerns. 

Catering Cost Management 

Catering was managed through a structured approach focused on balancing quality with cost-efficiency. 

Miramo oversaw menu selection aligned with event requirements, ensuring appropriate and well-curated offerings for each location. The team conducted food tastings and quality evaluations in coordination with venue partners to maintain consistent standards. 

From a commercial perspective, Miramo led per-person cost negotiations, optimising pricing while ensuring that quality benchmarks were consistently met. 

Real-Time troubleshooting and Issue Escalation Management 

Each roadshow event operates within a dynamic, live environment where on-ground conditions can vary by venue and city, 

Miramo established a structured approach to real-time troubleshooting and issue escalation, enabling the team to respond swiftly to operational challenges as they arose. This included close coordination with venue teams, infrastructure providers, and on-ground staff to address issues related to setup readiness, power, connectivity, or logistics. 

Clear escalation protocols ensured that any critical concerns were immediately routed to the relevant stakeholders for quick resolution.

Compliance and Venue Regulations  

Each venue had its own operational guidelines and statutory requirements. Miramo ensured that all event setups adhered to venue policies and local regulations. The team coordinated venue-level permissions where necessary and ensured operational compliance throughout the event.
